Assist and coordinate the day-to-day administration of facility and corporate services under general supervision. Daily work encompasses a wide range of responsibilities including Reception, Shipping & Receiving, Administrative and Facilities.



  • Maintain a professional environment for guests, clients, and colleagues
  • Answer and route incoming calls
  • Greet and direct visitors
  • Ensure completion of sign-in, security, and parking procedures by all visitors
  • Assign temporary Wi-Fi accounts for visitor.
  • Maintain a clean desk at all times

Shipping & Receiving:

  • Receive and distribute deliveries including equipment, inventory, hazardous materials, temperature-sensitive, and confidential package.
  • Verify that received orders match purchase orders, reporting discrepancies when necessary
  • Receive, sort and distribute mail daily
  • Receive, escort or direct vendors to facility


  • Meeting logistics, including conference room set up, catering set up and clean up
  • On-boarding and exiting employees, consultants, and temporary support
  • Purchase ordering for office, kitchen, and general supplies
  • Updating floorplans, phone lists, and emergency rosters
  • Maintain phone lists for conference rooms and laboratory
  • Assist with corporate events


  • Ensure breakrooms, restrooms, and conference rooms are tidy and well-stocked
  • Maintain and re-stock office supply rooms and printer areas
  • Monitor facility conditions, report actual or potential problems
  • Request basic building maintenance from landlord
  • Key card maintenance
  • Assist facilities project including, but not limited to, office moves, facility upgrades, and buildouts
  • Other duties as assigned
  • Support the organization in maintaining a work environment focused on quality and that fosters learning, respect, open communication, collaboration, integration, and teamwork


  • High school diploma or equivalent and 1-3 year facility and/or office experience.
  • Must be able to work independently and proactively with a customer service orientation.
  • Must be dependable, detail oriented, and completes assigned tasks on-time.
  • Must be able to lift 40 pounds, carry, kneel, reach, pull, and walk comfortably.
  • Must be comfortable using computer email and internet.
  • Ability to interact with employees for positive working relationships across the organization.
  • Personal attributes include flexibility, integrity and good judgment.
  • Must have a valid driver’s license and good driving record.
  • The ideal candidate will be professional, personable, and discrete to ensure privacy and confidentiality of company business, employees and guests.
